Minnesota Housing is hiring! We’re a mission-focused financial institution looking for a Database and Systems Admin with the Minnesota Housing Multifamily division. This position serves as an expert on database and systems administration. This role supports the mission through ensuring accuracy in data systems while providing exceptional support to our users and acting as a primary point of contact for all things Salesforce. This is an exciting opportunity for a detail-oriented and motivated individual.

Essential Job Duties

  • Responsible for maintaining the accuracy of data in Housing Development Software (HDS), Property Online Reporting Tool (PORT) and Portal databases by either entering data, verifying data or cleaning existing data. Maintenance includes property ownership or management contact updates and testing of new software updates to ensure field and report accuracy. Coordination with both external partners and internal partners required for support, updates, and solutions.
  • Salesforce System Administration. Tasks include external user set-up (account and contact management) and change requests, funding round configuration, and reporting support. First point of contact for internal and external customers to help troubleshoot and problem solve when issues arise. Main tester for the Scoring System used to evaluate funding requests submitted in the competitive request for proposals to find and report any bugs when updates are required.
  • Support application creation in HDS system and provide manual entry support. Creation of budget and funding modifications in system, as well as workbooks and scoresheet for testing of databases. In coordination with accounting, set up and ensure all grant funding draws are completed and accurate.
  • Pull reports on an as needed and frequent basis in response to both internal and external requests. Analyze data and verify its accuracy, including making sure the information is the actual data being requested. Create reports and track process for development of report, purpose of report, and report functionality. Work with staff across the agency – accounting, senior leadership, managers, programs, production, closing, legal, BTS (the Agency’s IT department), etc.
  • Technology subject matter expert (SME) for the following programs: Adobe Acrobat; Bi-query; Box.com; Dymo Label Maker; FileMaker Pro; HDS Funds Management; HDS Multifamily; IDIS; Microsoft Outlook; Microsoft Word; Oracle; PORT; Salesforce; Secure Uploads LeapFILE; Visio; Web page. Support staff throughout the Multifamily Division with named program troubleshooting and training.
  • Backup for Operations Department analyst by running monthly reports, quarterly reports, updating the Multifamily Management of Funds spreadsheet, and gathering data for National Council of State Housing Agencies (NCSHA) and Moody’s reports.
  • Perform other duties as assigned.

Minimum Qualifications

  • One (1) year of experience in data entry, customer service or in an administrative role performing database concepts including data entry and data verification. An associate’s degree in Business, Accounting or Finance can substitute for six (6) months of experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Experience identifying and troubleshooting basic computer software issues.
  • Excellent organizational skills with the ability to manage multiple tasks simultaneously and meet deadlines.
  • Attention to detail and a commitment to accuracy.
  • Demonstrated communication skills, including ability to comprehend and communicate complex information in plain language.

Preferred Qualifications

  • Basic understanding of Structured Query Language.
  • Experience with the Salesforce platform.
  • Understanding of affordable rental housing financing, such as the low-income housing tax credit, federal and state appropriations used for deferred loans, and amortizing first mortgages.
